Tasks, notes and follow-ups
Create tasks, capture notes, set follow-up dates on contacts, and let task rules create the routine ones for you.

Three small tools keep relationships warm. Tasks are things to do. Notes are things you learned. A follow-up date on a contact is the next time you want to speak to them. All three attach to the contact, company or deal they are about.
Create a task
- Open Tasks in the left rail and choose New Task. You can also choose Task in the header of a contact, or Add task on a company or deal.
- Enter a Task Title, for example "Follow up with client". It is the only required field.
- Optionally add a Description, a Due Date, a Priority, a Recurrence (with Recur Until (Optional)), a Task Type, a Related Contact (Optional) and who to Assign To.
- Save the task.
For a quick one, the quick-add box on the Tasks page takes just What needs to be done?.
Work your task list
The Tasks page filters by All, Today, Overdue, Upcoming, Done and Archived. Switch between Created by Me, Assigned to Me and All Team, search tasks, and sort by Recently Added or Priority. Status moves through Pending, In Progress, Blocked and Done.
The Task type filter separates Manual Tasks from Meeting Generated tasks, Financial Insights and AI Suggestions.
Accept suggested tasks
LeadLex also proposes tasks, such as people to contact or deals that have gone quiet. They appear in a Suggested Tasks section. Open one and choose Create Task from Suggestion to review the title, Due Date, Priority, Related Contact and Assignee before it is added to your list. Nothing is created until you do.
Capture notes
Open Notes in the left rail. Type in the box that says Capture a quick note… to save a thought before it goes. Notes can also be added from a contact, company or deal (Note in the header, or the Notes tab), where they sit with the rest of the history.
Set a follow-up date
Every contact has a Follow-up date. Set it on the contact's overview, or in the Follow-up column of the contacts table under Network. The contact's summary band then shows when it is due, such as "In 3d", "Today" or "Overdue", and the Waiting for you chips at the top of Network point to things that need a decision, such as likely duplicates and enrichment suggestions.
Let task rules do the routine ones
Task rules create a task when something happens, so follow-ups are not left to memory. Only workspace admins can set them up.
- Open Settings → Task rules.
- Under Recommended rules, choose Enable on any you want. Examples are a recurring touch-base for high priority contacts, a revisit task when a deal is lost, and a post-event note for contacts created from an event. Each rule lets you adjust its timing, such as how many days until the task is due.
- To write your own, choose to create a rule under Your rules. Set a When condition, then describe the task under Create this task, and choose Create rule.
What happens next
Lexi can work through your list with you. Ask it for "Overdue tasks" or "Today's priorities" and it will summarise what needs doing. See Meet Lexi.
