Onboard a new law firm associate to business development in one day
A one day plan to bring a new law firm associate into business development, from invitation and mailbox to three real BD tasks with Lexi.
Last updated
A workspace admin sends an invitation as a Member, the associate connects their own mailbox, and a partner walks them through a fixed list: the Network, the pipeline, the tasks page and Lexi. By the end of the day they have done three real tasks in the firm's own records.
LeadLex is onboarding a limited number of firms at a time, and new accounts are not open for self sign-up. This playbook is for associates joining a firm that already has a workspace.
Steps
1. Invite them (admin, before day one)
An admin opens Settings → Team → Invite Team Members, adds the associate's email address and chooses Member under Assign role to all invitees. The link works for 14 days. See Create your workspace and invite your team.
2. Accept and connect (hour 1)
The associate accepts with the same address the invitation went to, then goes to Settings → Email & Calendar and connects Google or Microsoft. See Connect Gmail or Outlook, and Google Calendar.
3. Meet Lexi (hour 2)
Open Lexi with the panel shortcut (⌘/ or Ctrl+/). Check which activity level your workspace chose, and ask Lexi a first question about a client the associate knows. Read Meet Lexi together.
4. Learn the records (hour 3)
Walk through one client: the company, its contacts, the deals and the activity. Use Contacts, companies and how they link. The associate adds one contact manually.
5. Do three real tasks (hours 4 and 5)
The associate does these three with Lexi, with the partner beside them.
- Open yesterday's meeting with a client, which arrives from the connected calendar, and add a note to it.
- Create a follow-up task and a follow-up date for a contact the partner names.
- Ask Lexi to draft a follow-up email to one of the starter clients, then edit it with the partner before it is sent.
6. Review and set the habit (hour 6)
Check the three items together. Agree when the associate will update the pipeline each week and which meeting they attend. See Tasks, notes and follow-ups.
Lexi prompts
What is open with Nordlicht GmbH? List the deals, the last three interactions and who at our firm owns the relationship.
Create a task for me to call Maria Weber on Friday, and set her follow-up date to Monday.
What are my tasks for today, and what is overdue?
Explain how a deal moves through our pipeline, using the stage names we use, in five lines.
Template to set up
| Item | Setting |
|---|---|
| Role | Member. Admins handle billing, API keys, data export and task rules |
| Day plan | The six steps above, with the partner named for each |
| Starter clients | Three clients the associate will follow, chosen by the partner |
| Task rule | An admin can enable Key contact: recurring touch-base. It fires when a contact is set to High priority after the rule is on, first due in 14 days, then every 3 months |
| Week one check | A 15 minute review at the end of the week |
| Visibility | Assume everything the associate enters is visible to the whole firm |
How to measure it
- Mailbox connected. Yes or no by the end of day one.
- First tasks done. The three tasks above are logged.
- Week one activity. Notes, tasks and meetings the associate has logged by Friday, from their activity on the records.
- Pipeline hygiene. Deals they own with a next step, at the end of week one.
FAQ
How long does it take to onboard an associate to a CRM?
With a guided plan, most of the useful work happens on day one: an invitation, a connected mailbox and three real tasks. The habit of updating the pipeline is what the week one check is for.
What can an Admin do that a Member cannot?
Members work with contacts, companies, deals, tasks and Lexi. Admins also invite people, change roles, and handle billing, API keys, data export and task rules.
Does the associate see the whole firm's data?
Everyone in the workspace sees the same companies and deals. Decide with the partners what the associate should and should not enter before they start.
What if the invitation expires?
An admin can resend it from the Team page, which starts a new 14 days.
