Most firms start with two sources: a spreadsheet export from wherever contacts lived before, and their mailbox. This article covers the export. For the mailbox, see [Connect Gmail or Outlook, and Google Calendar](/help/getting-started/connect-email-and-calendar).

## Import contacts from a CSV file

1. Open **Network** and choose **Add Contact**, then **Import CSV**.
2. **Upload CSV.** Choose your file. LeadLex accepts CSV only, so save Excel sheets as CSV first.
3. **Map Fields.** LeadLex matches your column headers to its fields. Check each one in the **Maps To** column and change it where it guessed wrong. Choose **Don't Import** for columns you want to leave out.
4. **Tags & Notes.** Optionally add a tag, a note or a priority to every contact in this file. This is a good moment to tag the source, for example "Imported from Outlook 2026".
5. Choose whether the contacts are private to you or visible to the team. New imports are private unless you change it.
6. **Complete.** LeadLex imports the rows and tells you how many came in.

Your file needs at least a **Name** or **Full Name** column. Columns that do not match a LeadLex field are kept as custom fields, so nothing in your export is lost.

### Companies are linked for you

When a contact has a work email address, LeadLex links the contact to the company for that email domain and creates the company if it does not exist yet. Free mail addresses such as gmail.com are left alone.

### Duplicates

The import does not merge rows that share an email address. After the import, LeadLex checks the new contacts for likely duplicates and sends you a **Review duplicates** notification. Open it to compare and merge.

To update contacts you already have instead of adding new ones, include their LeadLex ID and map that column to **Contact ID (for updates)**.

## Import companies or deals

Admins can import companies and deals from **Settings → API & Data → Import & Export**. Deals can also be imported from the **Import** button on the pipeline.

- **Companies** need a **Company Name** column. To update existing companies, map a column to **Company ID (for updates)**. Empty cells in an update never erase data you already have.
- **Deals** need a **Name** or **Deal Name** column. You choose the pipeline and stage the deals land in. Companies and contacts named in the file are matched or created.

Moving from Clio, Practice Panther or MyCase? The import screen has a **Migrating from another CRM?** option with ready made templates for those exports.

## Import from HubSpot

A workspace admin connects HubSpot once for the whole firm.

1. Open **Settings → Integrations** and find **HubSpot**.
2. Choose **Connect HubSpot** and sign in to HubSpot to approve access to contacts and companies.
3. Back in LeadLex, choose **Manage Sync Settings**.
4. Use **Import Contacts** or **Import Companies** to bring records in, or **Two-Way Sync** to keep both systems matched.
5. Choose **Skip Duplicates** to leave existing records alone, or **Merge Duplicates** to update them. Contacts are matched by email address, companies by name.

Each run handles up to 1,000 records. Syncing runs when you start it, not on a schedule, so run it again after larger changes in HubSpot. **Export to HubSpot** sends LeadLex records the other way.

To stop, choose **Disconnect HubSpot** on the HubSpot card in Settings.
