# Conference mode: from the event floor to follow-up

> Set up an event, switch on conference mode, capture contacts and meetings as you go, and turn the day's conversations into follow-ups.

Conferences produce a lot of conversations and very few records. Conference mode fixes that. While it is on, everyone you add is linked to the event automatically, and you get one-tap actions for the things you do on the floor.

Each event is a page under **Events** in the left rail. It follows the event through six phases: **Plan**, **Attendees**, **Prep**, **Live**, **Wrap-up** and **Report**.

## Create an event

1. Open **Events** and choose **New Event**.
2. In **Create New Event**, enter an **Event Name**, for example "ILTACON 2026". Add a **Description** and **Location** if you like.
3. Set a **Start Date**. **End Date** is optional.
4. Choose to create the event.

Looking for events to attend? **Discover** on the same page lists events you can add. The page filters events by **All**, **Upcoming**, **Completed** and **Archived**.

## Add the people you expect to meet

On the event, use **Add Attendees** to bring in who is going. You can **Import Attendees**, import a CSV file or **Scan Business Card**. In **Prep**, set a priority, assign a teammate and mark attendees as briefed, so the team does not all chase the same person.

## Switch on conference mode

1. Open the event and choose **Conference Mode** in the top bar. On a phone it reads **Live**.
2. The page shows a green banner, "Conference mode active", and a toast confirms "Conference mode activated".
3. Anywhere else in the app, a banner reads **Adding contacts to:** followed by the event name.

Conference mode is per person. It tells LeadLex which event you are working, so new contacts you create, scan or import go to that event's list. Switch it off from the same button when you are done.

A round action button also appears on the event with the actions you need most:

- **Mark met** to find an attendee by name, firm or email and tick them off. If nobody matches, it suggests scanning their card.
- **Log meeting**
- **Add note**
- **Create deal**
- **Add attendee**

## Capture contacts on the spot

Use **Scan Business Card**. Take a photo of the front and back if there is one. LeadLex reads the details, you review and correct them, and save to your network. The company is created and linked from the website or name on the card. You can save a scan as an **Attendee**, a **Contact** or **Both**.

## Stay on top of the day

- The **Live** phase gives a timeline of the day's meetings. Teammates working the same event appear as present.
- Lexi can send a team note each evening of the event with meetings held, hot contacts and who owes which follow-up. A workspace admin switches it on and sets the time under **Settings → Lexi AI → Preferences**, in the **Evening team note** card. It is off by default.

## Wrap up and follow up

1. Open the **Wrap-up** phase after the event.
2. Filter attendees by outcome: **Deal created**, **Follow-up needed**, **Nurture** or **No action**.
3. Select people and use the bar of bulk actions: **Add to campaign**, **Create follow-up tasks**, **Create notes**, **Create deals**, **Assign teammate**, **Set priority** or **Add to list**.

Ask Lexi to help with the rest, for example "Draft follow-up emails for attendees of ILTACON 2026" or "Extract action items from this event". See [Meet Lexi](/help/getting-started/meet-lexi).

## Share a report

The **Report** phase shows the funnel and key numbers for the event. You can share it with people who do not have a LeadLex seat. The share option creates a read-only page, and you choose how long the link lasts under **Link expires after**. Existing links are listed under **Existing links**.

## What happens next

The event keeps its own list of everyone you added, so you can come back to it. See [Lists and tags](/help/crm-basics/lists-and-tags).
